What we collect when you use this website or get in touch, why, and what you can ask us to do with it.

Who we are

This website, smartqix.com, is run by Smartqix LLC, based in Columbus, Ohio, United States, and Smartqix Limited, based in Accra, Ghana (together “SmartQix”, “we” or “us”). We are responsible for the personal information described in this policy.

What we collect

When you contact us

The contact form asks for your name, email address, company (optional), the service you are interested in (optional), a budget range, and your message. We also record the internet (IP) address the form was sent from, to protect the form against spam and abuse. The form is checked by Cloudflare Turnstile, which looks at your browser and connection to tell people from automated spam; Cloudflare handles that information under its own privacy policy. If you email, call, or message us on WhatsApp, we receive whatever you choose to send.

When you chat with us

The chat on this website asks for your name, email address and phone number before it starts, so we can reply even if you leave the page. We keep the messages you and our team send, the page you started from and the page that referred you, your IP address and your browser type. Your browser keeps a random key so it can reopen your chat; clearing your browser's storage removes it. Chat messages travel through our own server, not a third-party chat service.

When you browse the site

Like most websites, our servers keep short technical logs of requests: IP address, browser type, the page requested, and the time. Each visit also has a short-lived session record, holding your IP address and browser type, which lets the contact form work securely. We use this information only to keep the site secure and working.

We do not use analytics, advertising, or tracking cookies, and we do not build profiles of visitors.

Cookies

The site sets two cookies that it needs to work: a session cookie and a security token (XSRF-TOKEN) that protects forms from being submitted by other websites. They are deleted when they expire, do not follow you to other sites, and are not used for marketing.

How we use your information

  • To reply to your enquiry or chat, and discuss your project. If you leave a chat before we answer, we send our reply by email.
  • To prepare proposals and, if you become a client, to deliver and invoice our services.
  • To keep the website and our systems secure, and to prevent spam and abuse.
  • To meet our legal, tax, and accounting obligations.

We do not sell or rent your personal information, and we do not send marketing emails unless you ask us to.

Where the law requires a legal basis for using personal information (for example the Data Protection Act, 2012 of Ghana, or the GDPR for visitors in the European Union or United Kingdom), we rely on: steps you ask us to take before entering into a contract, such as answering your enquiry; our legitimate interest in running a secure website and business; our legal obligations; and your consent where we ask for it, which you can withdraw at any time.

Who we share it with

  • Service providers that host this website, deliver our email, and protect the contact form from spam (Cloudflare Turnstile), only as needed to provide those services and under confidentiality obligations.
  • Professional advisers, such as accountants and lawyers, when we need their advice.
  • Authorities, when the law requires it.
  • A buyer or successor, if all or part of our business is sold or reorganised, under the same protections.

International transfers

We work from the United States and Ghana, so your information may be handled in either country and wherever our hosting and email providers operate. When it moves between countries, we take reasonable steps to keep it protected as described in this policy.

How long we keep it

  • Enquiries sent through the contact form: deleted automatically 24 months after they arrive. If you become a client, the details we need are kept in your client record instead.
  • Chats: deleted automatically 24 months after the last message.
  • Session records: deleted automatically soon after they expire.
  • Client records: for as long as we work together, then as long as tax and accounting law requires, usually up to 7 years.
  • Server logs: a few weeks, unless needed to investigate a security problem.

Your choices and rights

You can ask us to show you the personal information we hold about you, correct it, delete it, or stop using it for a particular purpose. Email support@smartqix.com and we will reply within 30 days. We may need to confirm your identity first, and we may keep some information where the law requires it.

If you are not satisfied with our answer, you can complain to your data protection authority: in Ghana, the Data Protection Commission; in the European Union or United Kingdom, your local supervisory authority.

Security

The site is served only over encrypted connections (HTTPS). Access to enquiries and client information is limited to the people at SmartQix who need it. No system is completely secure, but we work to protect your information and will tell you promptly if a breach affects it where the law requires.

Children

This website is meant for businesses and is not directed at children under 16. We do not knowingly collect their personal information.

Other websites

Our case studies link to websites we built for clients, and to our social media pages. Those sites have their own privacy policies, which we do not control.

Changes to this policy

If we change this policy, we will update the date at the top of this page. Significant changes will be highlighted on the site.
